Cash Bag Tracking

 

Cash Bag tracking is a feature of VendSys when VendSys Mobile is being used on a handheld device by the Route Driver.

 

VendSys Mobile will download all required Services for a specific day, and track the servicing of the vending machines, including the reading of DEX information and confirmation of Fills, Waste and closing inventory balances in the vending machines as each machine is serviced. Some of these Services will be Collects ie the coin and bills in the machine is to be taken from the machine.

 

VendSys tracks the use of Cash Bags through the vending service process as follows:

 

Services that are Collects must be allocated a Cash Bag by the Driver in order to complete the service process in VendSys Mobile. The cash and coin to be collected must be placed in a single cash bag which is to be recorded in the handheld.

 

VendSys Mobile will have a list of available cash bags that can be allocated to the Collect from which the Driver can barcode scan or select from a drop-down list. After saving the data, the Cash Bag selected by the driver is now allocated to that service, and cannot now be allocated to any other Service.

 

When the handheld data is synchronized to the VendSys database the services and allocated cash bags are saved to the database. Until the cash is counted and entered into VendSys the allocated Cash Bags will not be downloaded into VendSys mobile again until they are "released".

 

When the cash is counted and entered onto the Service Collect in either the Enter Cash form or the Enter Service Card form, the Cash Bag will be released and is available for further use ie will be downloaded into VendSys mobile in the next logged in session and can be allocated to a new Service Collect.

 

The Cash Bag form can be used to see what bags are currently allocated and what bags are available. The Release function within this form can be used to manually release a cash bag if any physical mistake has been made.
